Meeting called to order at 7:15pm There are 26 members present
including 4 board members.
Minutes
Mitzka Jeric read the minutes
of the last AGM. Joe Lechay made a motion that the minutes be accepted
as read, seconded by Gerald Hodge; all in favour .
Treasurers Report
Lynne Carmichael read the
treasurers report. The present financial situation is the best it's been. We
have money in the bank - $4,600.00 thanks to the 6x6 show. Some of this money
is for a portion of the traveling show.
She then reported on the activities that she had been involved in over
the past year · Achieved the Temporary
USE Permit for a further three years.
· Updated workman's compensation.
· The gallery has new liability
coverage.
· As of June 20 th 2004 we became
officially registered as a Non Profit Society
· The Artist Run Gallery Web
Page is almost completed
· The Gallery now remitts PST
directly
· Thanks to Sonja Goldsmith for another
year of great book keeping.
Because
we will have been in business for one year and our sales fairly high,
Lynne is going to inquire into whether we have to start paying GST. Darlene
mentioned that since we are a non-profit society we would be eligible
for a 50% rebate. Lynne is going to check this out also.
Lynne moved that the treasurer's
report be accepted as read. The motion was seconded by Jennifer Armstrong;
all in favour . The Thatch
We all engaged in a dialogue
about expanding our existing gallery profile by starting to develop a new gallery
area at the Thatch. The main reason prompting this expansion is that we
are limited to 3 more summers in our present location and relocation is imminent.
The EEC is taking possession of the Thatch April 1 st . and we have been considered
as an integral a part of the plan for the near future. This is an interesting
community project. Darlene Gage and Robin de Lavis are a part of the EEC and
were present for this discussion to answer people's questions and hear concerns. Gerald
Hodge is also a member of their Board of Directors and spoke about zoning. He
said that the zoning at the Thatch is conducive to a Gallery operation. We
do need to find out more about insurance especially around the public gallery.
There were reservations expressed. More information needs to be
gathered and members need to check out the space and hear ideas and take
part in discussion.
Lynne made a motion that we work towards occupying a space, in some capacity,
at the Thatch by this summer season as an annex to our existing gallery
and that we first move forward with our discussions, along with the EEC
and the HIAC, to come up with a plan that suits us all. Jo Lechay
seconded the motion and a show of hands was two thirds in favour .
John wanted to make it clear
to the membership that we as a board are not going to move forward on this without
a lot more discussion and information gathering all around, with our members,
the EEC and HIAC. We want to move and grow with the support of our
membership and these groups. We will continue the exploration and the dialogue.
Lynne is off to Prince George
in the middle of April to find out more about the guidelines around creating
a public/commercial gallery space. Monies of over $17000.00 have
been raised to put into a sculpture garden and/or public gallery at the Thatch. There
are ways to trade labour for materials in kind so that we could fund and create
a joint project.
Darlene has also offered on
our behalf to apply for a student grant under the EEC and we would be the beneficiaries. This
means that we would get a student (preferably an art student) as an employee
of our gallery funded for $8.00/hr. 35 hrs. /week for June, July, and August.
We would have to top up the wage and pay CPP … but this is nominal for the value. The
student could assist with the gallery work at the Thatch.
We would like to see another
General Meeting in May to bring everyone up to date on the discussions that have
taken place and the information that has been compiled.
Web Page
John Grunewald , Lynne Carmichael
and Jennifer Armstrong have been working on a Web Page for the Gallery with
Claire Sierra. It is simple and professional and has cost the gallery very
little. It
will be able to be easily updated, adding new work to the slideshow or members
to the directory. Artists can still submit a jpeg of their work. The
web page will be up and running within the next couple of weeks.
Took a break at 8:50 pm. Off-Island Travelling Art Show
John G. outlined the history
of the traveling show, where the inspiration came from, how the monies were
acquired, what has been done in the past to get one happening and up to the present.
Thanks to Louise Walters for all her past efforts. He read a recent letter
from the Arts Council outlining our specific guidelines to leave the island. He
expressed apologies for the misinformation that has lead to work being done
by the curatorial committee members that did not in the end fit the guidelines.
Linda Armstrong spoke about The South Delta Artist Guild. They are
excited to welcome us to their gallery space in Tsawassen on Sept 22-25 th
. They have offered to help us with a press release for the local papers
and advertising through their news letter (goes out to their 170 members)
Lynne made a motion that we make the most of this opportunity and Ann Carmichael
seconded the motion; all in favour .
The board is asking for submissions
from groups, of say two or three members, who would be interested in running
the traveling show project. This would entail submitting a budget,
a theme and an over all plan of the show; selecting the work, making the
proper arrangements for transporting the show, hanging the show, attending
the show and seeing it home again. There would be given an honorarium of
$150.00 plus gas, ferries, and accommodation if necessary to each member
of the selected group. Also we would like, if possible, to arrange to have
a “ sending off “ celebration with
our community, at the Hall. This would happen prior to the show traveling
if the space can be acquired. Louise Walters had booked the Hall for
us on the weekend of the 25 th of Sept. We will look into a possible
shift there. The Board will meet on the 28 th of April to choose from
the submissions. We want the show to be a representation of as many
of our artists as wish to participate. There is a budget of approx.
$2500.00 for the show to travel.
Another $2500. is also available
to produce some kind of pamphlet or brochure and could be used in different
ways. We
are looking for ideas and interested members to take on this second aspect
of the project. Two separate efforts… Membership
Linda Jane spoke about new
memberships and concerns raised regarding people joining without going
through the channels that we created in our policies. New members need
to go down to the gallery and look at and agree to the member's contract. They
need to show a body of work to the curatorial committee and demonstrate their
commitment to producing Art work and present a Resume if possible. The
curatorial committee and the managers are very supportive and helpful in this
process.
Some discussion was brought
on by Louise W. about the status of members. This is laid out
clearly in our in our policies. How many members can we have? Membership Committee
A
Membership committee was created with Sharron Millstein, Lynn and Tom
Knott to look at Membership issues.
Committees
Members need to renew their
commitment to the committees, changes are welcome. A few new committees
have been added; the Cleaning committee, Show Openings committee, Signage
committee, and Publicity committees. We need to work on
making the committee structure more effective and efficient.
Election of Officers
Election of the new board
of Directors: Sharron Milstein, Ann Zelinski, Bill Adams and Cimmaron Knight
are the very welcomed new members of the Hornby Island Artist Run Gallery Board
of Directors. Lynn Carmichael will be standing for her second year and
John Grunewald , Bob Henderson, and Linda Armstrong are willing to serve another
year. A big thank you to Mitzka Jeric and Sabine Taylor, who are stepping
down after their second year of service, many thanks!! Gene Barker has
been on the board for the past year and now is quite ill; a big thank-you to
her for all her efforts and great ideas. The New Board was accepted
by acclamation unanimously by the members present.
